If you're a print shop, custom apparel maker, or small workshop planning to buy screen printing equipment, this checklist is for you. I've been handling custom printing orders for 7 years. I've personally made (and documented) 11 significant mistakes, totaling roughly $14,000 in wasted budget. Now I maintain our team's checklist so we don't repeat them.
There are 7 steps. Some will look obvious after you read them. The one I skipped almost cost me a customer.
Step 1: Define Your Actual Production Volume (Not the Dream Volume)
Screen printing equipment isn't one machine. It's a press, a dryer, a screen exposure unit, a washout booth, ink, screens, squeegees, and support gear. The first question should be how many pieces do you need to print per day, this month?
I bought a larger manual press because I dreamed of 500 shirts a day. I was printing 40. Overkill. It sat there for a year before I admitted it. That mistake cost me about $1,200 in extra cost and a lot of floor space.
Checkpoint: Write down your actual maximum order sizes from the last three months. If the number is under 50 per day, skip the industrial-size press. You can always move up later.
Step 2: Check Ink System Compatibility Before You Commit
Not all screen printing ink behaves the same. Plastisol, water-based, discharge, and solvent-based inks have different cure temperatures, solvents, and mesh requirements. If your press and dryer can't handle the ink you plan to use, you're going to have a bad time.
I once told a supplier 'standard ink.' They heard 'white plastisol.' I discovered the misunderstanding when the order arrived and the water-based ink I needed wasn't in the box. $450 wasted, plus a three-day delay.
I've also heard 'brothers printer ink' used as shorthand for expensive consumables. The comparison makes sense at a high level: ink is a recurring cost. But screen printing ink has a shelf life, viscosity, and cure temperature. It's not a cartridge you snap in and forget.
Checkpoint: Get a written spec sheet for every ink you plan to use. Compare it with your equipment's temperature range and flash unit.
Step 3: Calculate Total Cost of Ownership, Not Just Sticker Price
The cheapest price is rarely the best deal. I now calculate total cost of ownership (TCO) before comparing any vendor quotes. TCO includes:
- Machine price
- Shipping and rigging
- Installation and training
- Accessories that are not included
- Maintenance and replacement parts
- Your time troubleshooting
- Redo costs from bad prints
The $500 quote turned into $800 after shipping, setup, and revision fees. The $650 all-inclusive quote was actually cheaper.
Time is a cost. Every hour you spend fixing a poorly documented machine is an hour you're not printing paying orders. I'm not saying every expensive machine is worth it. I do not mean to knock used equipment either. I mean check the total cost.
Shipping matters more than you'd think. According to USPS pricing effective January 2025, a First-Class Mail large envelope starts at $1.50 for the first ounce. That's for small samples and documents. For actual equipment, freight can be hundreds of dollars. Get the delivered price in writing, not the base price.
Checkpoint: Ask for an itemized quote that includes every fee. If a vendor won't put it in writing, that's a clue.
Step 4: Don't Ignore the Screen-Making Side
Most buyers focus on the press. The bottleneck is often the screen department. You need a screen exposure unit, a washout booth, mesh, emulsion, and a drying cabinet. If you're looking at an xTool Screen Printer or a similar direct-to-screen tool, remember it's one step in the chain.
I can only speak to our workflow. Your screen-making setup may be completely different. If you use a different unit, material compatibility and exposure times will probably be different. Verify before buying.
My first screen took two hours to expose. The image washed out because the emulsion was underexposed. I had to start over. That's when I learned that screen printing equipment includes the screen-making side, not just the press.
Checkpoint: Can you make and reclaim a screen in under 30 minutes? If not, your process needs work before you add more machines.
Step 5: Measure Your Physical Space (Most People Skip This)
We measured the floor. Forgot the ceiling. The flash dryer needs clearance above the pallet. The washout booth needs water supply and drainage. The press needs room for the squeegee arms to rotate. Obvious when I say it now. At the time, not so much.
A small printer for home sits on a desk. Screen printing equipment doesn't. A manual press can weigh 400 pounds or more. If your shop is in a basement with narrow stairs, that's a serious problem.
Also think about air flow. Solvent inks and cleanup chemicals need ventilation. Not every garage or spare room is suitable.
Checkpoint: Use a tape measure, not a guess. Include the height of the press with a loaded screen, plus room for the dryer and the loading side.
Not ideal, but workable? Maybe. But you don't want to discover the issue on delivery day.
Step 6: Verify the Color Matching Workflow
If you're printing brand colors, 'close enough' is not a color standard. Industry standard color tolerance is Delta E less than 2 for brand-critical colors. Delta E of 2 to 4 is noticeable to trained observers, and above 4 is visible to most people. Reference: Pantone Color Matching System guidelines.
You also need the artwork resolution to support the print size. Standard print resolution for commercial print is 300 DPI at final size. A 3000 x 2000 pixel image at 300 DPI gives you a maximum print size of 10 by 6.67 inches. A fancy press can't fix low-resolution art.
I once approved a screen that looked right on my computer monitor. The printed color shifted after curing. We caught it before shipping, but the redos cost $890 and a one-week delay. Per FTC guidelines, claims about what a system can produce need to be substantiated. I test on the actual substrate before promising a color match.
Checkpoint: Run a test print on the exact material you'll use. Wait for it to cure. Then compare it against the Pantone reference under consistent lighting.
Step 7: Plan for Maintenance and Support Before You Need It
Every machine breaks eventually. A press with a 12-month warranty is not a luxury. If the seller disappears after the check clears, you're stuck with a very heavy paperweight.
Ask these questions before buying:
- Are replacement parts available?
- Is there a phone number that gets answered?
- Can they send a video tutorial for common repairs?
- Do they have a troubleshooting checklist?
This is accurate as of Q4 2024. The market changes fast, so verify current support terms before you commit.
Even after choosing our current equipment, I kept second-guessing. What if the support wasn't as good as the sales pitch? The two weeks until delivery were stressful. Then the install tech walked us through the test run, and I relaxed. A good vendor hands you a checklist, not just a box.
Checkpoint: Send an email to support before you buy. Ask a simple question. If they don't reply in two business days, that tells you a lot.
Common Mistakes I've Made (So You Don't Have To)
- Buying used equipment without testing it with ink. It looked fine on a screen, literally. It wasn't.
- Ignoring mesh count. The difference between 110 and 156 mesh matters more than I thought.
- Assuming 'printed on paper' will look the same on fabric. It doesn't.
- Ordering ink before checking the cure temperature. Our dryer couldn't hit the required range.
- Not budgeting for squeegees, tape, and other consumables. They add up quickly.
One afternoon I lost an hour trying to figure out how to find WPS PIN on HP printer, and I thought: at least a screen printing press doesn't ask for a Wi-Fi PIN. But it does have its own setup checklist. Every device has hidden setup steps. Screen printing equipment just has more of them.
This worked for us, but our situation was a mid-size custom shop with predictable order patterns. If you're a seasonal business with demand spikes, your needs might be different. And if you're just starting out, the best screen printing equipment might be a small manual setup, not the full industrial line.
